An Approval Studio review-request notification in a Microsoft Teams chat
Microsoft Teams Integration

Every approval update,
right where your
team already works

Staying on top of proofs usually means living in a dashboard or refreshing your inbox. The Approval Studio bot for Microsoft Teams flips that around: the moment something happens on your projects — a review is requested, a proof is approved or rejected, a new version is uploaded — you get a direct message that tells you what happened, who did it, and links straight to the proof. No dashboard-watching, no inbox digging.

Staying in the loop, minus the tab-switching

Approvals move at the speed of the slowest notification. Here's what changes the day your team adds the bot.

Without the bot
  • Keep a dashboard tab open to catch new tasks
  • Miss a decision because it sat in your inbox
  • Can't tell at a glance who approved or rejected
  • Hunt through email to find the review link
  • Reviewers wait because nobody saw the request
  • Switch tools just to see what changed
With Approval Studio
  • A direct message the moment an event happens
  • Every review request lands where you'll see it
  • Each decision shows who made it
  • One tap opens the proof in the review tool
  • Reviewers are notified the instant it's their turn
  • Everything arrives inside Teams — no context switch

Your approval workflow, in your chat

Everything you'd normally open Approval Studio to check now comes to you in Teams.

Every event, as it happens

Review requests, approvals, rejections, new versions and completed tasks all arrive as direct messages the moment they occur in Approval Studio.

Always know who

Every notification names the person behind it — who requested the review, who approved, who rejected — so you never have to ask.

One tap to the proof

Each message links straight into Approval Studio — review requests open in the review tool ready for your decision; everything else opens in view mode.

Your preferences, your call

A quick /settings menu lets each person switch notification types on or off. Comments stay off by default, so the channel is only as busy as you want.

Immediate and reliable

Notifications are delivered the instant the event fires. The bot runs as an always-on hosted service, so nothing waits for a batch or a poll.

Zero per-project setup

Sign in once with your Approval Studio account and you're done. There's nothing to configure per project — new projects you own are covered automatically.

Up and running in three steps

No new accounts, no per-project wiring. If you can sign in to Approval Studio, you can get your notifications in Teams.

1

Add the app

Install the app in Teams from the package below (full steps in the next section), then open a chat with the bot. No per-project setup.

2

Sign in once

Connect your Approval Studio account with a single sign-in. From then on, the bot knows which projects and tasks are yours.

3

Get notified

As events happen, the bot messages you with the details and a link into the proof. Fine-tune what you receive any time with /settings.

Install it in Teams

The app isn't in the Teams store yet — it's in review. Until then, add it manually with the package below. It only takes a minute, and everything keeps working when it goes live.

Recommended · whole team

Roll it out for your organization

  1. In the Teams admin center (admin.teams.microsoft.com), open Teams apps → Manage apps.
  2. Click Upload new app and choose the downloaded .zip package.
  3. Your team adds Approval Studio from Apps → Built for your org.

Requires Teams administrator access — best for rolling the bot out across a company.

Just for you

Add it to your own Teams

  1. In Teams, go to Apps → Manage your apps.
  2. Click Upload an app → Upload a custom app.
  3. Select the .zip package, then open the app and sign in.

Needs “custom app upload” enabled by your Teams admin.

Don't see “Upload a custom app”? Your organization has custom-app uploads turned off — an admin can enable it in the Teams admin center, or use the organization roll-out above.

Every notification

The whole picture, in one message

A notification isn't just "something changed." Each message carries the real project context pulled live from Approval Studio, so you can decide whether to act without opening anything — and open it in one tap when you do.

  • Project details — customer, brand/product, version and tags
  • Who and what — the person who triggered it and the exact event
  • Task info — the assignee, due date and any instructions
  • The right link — review mode for your tasks, view mode for the rest

Built for the people waiting on a decision

When work needs a yes, the wait for someone to notice is the slow part. The bot removes it.

Project owners & managers

See every decision across the projects you own — as it happens, and with the name of whoever made it — without watching a dashboard.

Reviewers & approvers

Get pinged the moment a proof is waiting for you, and jump straight into the review tool to approve or reject.

Agencies & brand teams

Keep clients and stakeholders moving by making sure the right person always knows it's their turn — in the chat they already live in.

Access & security

Signs in with your account. Sees only what you can.

The bot connects to Approval Studio using your own account, so it only ever shows you what you already have access to. It's a notifier, not a vault — your proofs, artwork and comments stay in Approval Studio; the bot just points you to them.

  • Each person signs in with their own Approval Studio account
  • Your proofs and files are never copied — messages link to them
  • Only notification details are stored, and incoming events are verified
  • Turn it off any time by removing the app from Teams
What it takes to start
  • An Approval Studio account
  • The app added in Microsoft Teams
  • One sign-in — then notifications just arrive

Frequently asked questions

How much does the Teams app cost?

The app is free to add in Microsoft Teams. It connects to your Approval Studio account, so you'll need an active subscription or trial to receive notifications about your projects.

How do I install it — is it in the Teams store yet?

Not yet — the app is in Microsoft's review process. For now you add it manually with the package on this page: an admin can upload it for the whole organization, or you can add it to your own Teams if custom-app uploads are enabled. See Install it in Teams above. Once it's listed in the store you'll be able to add it in one click, and anything installed manually keeps working.

What notifications will I get?

Review requests assigned to you, approvals and rejections on projects you own, new proof versions, and completed tasks — each with the project details and the person who triggered it. Comments are available too, but off by default.

Can I turn down the noise?

Yes. Send /settings to the bot to switch each notification type on or off for yourself. Comments and deletions start off, so you only opt in to what's useful to you.

Can I approve or reject from the chat?

Decisions are made in Approval Studio's review tool, where you have the full proof, version compare and annotations. Each review request links straight there in one tap — so you get the speed of a notification with the rigor of a real proofing tool.

Is my design or proof data stored by the bot?

No. The bot doesn't copy your proofs, files or comments — it stores only what it needs to reach you (your Teams and Approval Studio identity and your notification preferences) and links you back to the content in Approval Studio.

Keep working. Let the approvals come to you.

Add the app, sign in with the account you already have, and get your next review request the moment it's your turn — right in Microsoft Teams.
