🎉 Congrats, the new version of Approval Studio is live!

It’s only been a month and a half since our last release, and we’re back again with some exciting new features and powerful improvements. We’re always listening to your feedback, and this release is packed with updates based directly on your suggestions.

Let’s jump in!

📏 Ruler Just Got Smarter

You already know and love the built-in ruler in the Review Tool—it’s one of the core features our users rely on daily. So, what could possibly make it better? A ruler that follows you!

Introducing the new edge rulers – now displayed along the sides of your asset preview. They adapt to zoom levels and stay in view, giving you precise measurements no matter how close you’re looking. This enhancement is available to all users with the Ruler feature in both Lite and Pro packages.

🔄 Workflow Automation: Even More Flexibility

Our Role-Driven Workflows just leveled up. Thanks to your requests, we’ve added a handful of improvements that give you even more control and automation options.

Here’s what’s new:

  • 🔁 External user actions can now be used as workflow triggers.
  • 📩 Internal users can now receive automatic custom emails during any step.
  • Greater flexibility in task assignments and notification flows.
You can add external users to workflow steps and receive notifications at any point

Example Workflow:

  1. A new project is created → Approval Studio automatically sends an upload request to an external user.
  2. Once assets are uploaded → the project owner is prompted to assign designers and reviewers (internal & external).
  3. Designers are notified to create mockups → decision-makers review the files.
  4. If approved internally → the mockup is sent to the client, and the sales rep is notified.
  5. If the client approves → the file moves to production and notifies the project owner.
  6. If rejected → the system updates tech requirements and triggers the next review cycle.

This is just one example. With the new workflow functionality, you can build even more complex approval processes that run automatically — saving time and reducing manual steps.

✅ Checklist Visibility: Now Front and Center

Previously, reviewers only saw checklists after clicking the Approve button — not ideal if the checklist was supposed to guide their review. That changes now.

Starting with this release, checklists are visible from the beginning of the review process. Reviewers can follow the checklist as they work, ensuring nothing gets missed and decisions are better informed. It’s a small change with a big usability impact!
